Re: IRIS Connect – Building on teaching excellence through collaboration and sharing practice

Dear parents/carers,

Further to my previous communication regarding the use of IRIS Connect (see letter attached), please note that, due to a few questions that have arisen, this training platform hasn’t been used as of yet.

Question 1: Does the school have a contract with the supplier of the IRIS Connect system? Does this contract provide written assurance that the server is a secure system for storing this data, to safeguard the children?

Response from Simeon Drage, Head of Operations & Data Protection Officer at IRIS: Yes, we do. This is our Data Protection Agreement/Organisation Administrator Agreement which can be reviewed here. Within this, we have clauses that cover our responsibilities as Data Processor and our security measures and controls that are in place to protect the data we process for our customers (the most up-to-date list of controls can be found here).

Question 2: With reference to the statement in the original letter (attached) that videos will only be shared with education professionals approved by the school and are visible to no one else, who are these ‘education professionals approved by the school’ e.g. E-ACT staff in other E-ACT schools, OFSTED?

Response: Those who will see videos will be staff from within the Academy. Use of IRIS is to improve the teaching practice of teaching staff and/or to share best practice within the Academy amongst the St. Ursula’s teaching staff. Videos will not be shared with other schools or with OFSTED. Should there arise a need or a request has been made for videos to be shared with anyone outside of the Academy, parents will be contacted beforehand.

Question 3: Will the children be identifiable by name?

Response: Only if the member of teaching staff states their name (will be their first name) in a video. These videos will only be uploaded to the IRIS Connect system and by the member(s) of staff involved in the training session. Staff also have to ‘allow’ other members of staff to view their videos.

Question 4: What are the School’s GDPR processes?

Response: GDPR, General Data Protection Regulation is a comprehensive set of that protection rules that has been incorporated into UK legislation and compliance with it applies to all organizations. E-ACT’s privacy notice should be able to assist with any questions around how E-ACT process data i.e. https://www.e-act.org.uk/privacy-notices/

I hope the above answers are reassuring and you will support our use of this method to further enhance the teaching practice at St. Ursula’s.

If, for whatever reason, you would prefer not to have your child feature in a video, please contact the school office to make us aware. We will be using IRIS in term 3 so would be grateful if this is made known to us by the end of the first week of term 3 i.e. Friday 5th of January.

Thank you for your support with this.

PREVIOUS COMMUNICATION

Dear Parents/Carers,

Re. IRIS Connect – Building on teaching excellence through collaboration and sharing practice

We are delighted to be using ‘IRIS Connect’, an innovation in teacher professional development, which uses a secure video system to enable teachers to reflect and share their many examples of excellence with our team of teaching staff across the school. Recordings take place in normal day-to-day lessons and our aim is to use these recordings to share our outstanding practice, for teachers to reflect, amend and trial new and creative teaching, learning and assessment techniques to ensure the very best outcomes for all pupils.

This IRIS Connect system is GDPR compliant and encrypted in the same way as your online banking. The videos themselves may only be shared with education professionals approved by the school and are visible to no one else. The videos recorded will only be used to improve teaching and will remain on the IRIS Connect secure servers.

We will begin trialling this system at the beginning of term 2. We hope that you will be happy for your child to be included and if you need any more information or if you have any questions regarding this project then please do get in touch.

Thank you in advance for your cooperation in this matter.

Yours sincerely,

Miss N. Hamilton, Headteacher and the Senior Leadership Team
